Privacy Policy
Effective October 9, 2026
This policy explains how VivMech handles information through this portfolio website and its inquiry forms. VivMech is a scientific visualization studio based in Oklahoma, United States.
Information we collect
When you submit a project inquiry, we receive your name, email address, project description, intended audience, and any optional details you provide, such as your organization, curriculum goals, references, deadline, and delivery preferences. When you submit a privacy request, we receive your name, email address, and request.
Our hosting and form providers may process technical information such as IP addresses, browser and device details, request times, referring pages, and spam-prevention signals to deliver, secure, and operate their services.
How we use information
We use inquiry information to respond to you, discuss potential projects, prepare proposals, and maintain related correspondence. Privacy-request information is used to address your request. Technical information supports website operation, troubleshooting, security, and spam prevention. Submitting an inquiry does not sign you up for a marketing mailing list.
Providers and sharing
Netlify hosts this website. Formspree processes and stores submitted forms and sends notifications to our email inbox. Our email provider processes those notifications and subsequent correspondence. Information is shared with these providers as needed to operate the website and respond to requests; it may also be disclosed when legally required or reasonably necessary to protect rights or security.
We do not sell inquiry information or share it for cross-context behavioral advertising. Our providers have their own information-handling practices, described in the Netlify Privacy Statement, Formspree Privacy Policy, and Google Privacy Policy for the email service we use. Providers may process information in the United States and other locations where they operate.
Browser drafts and storage
Our forms use local storage in your browser to save unfinished answers on this device. Project inquiries and privacy requests have separate drafts. Saving a draft alone does not submit those answers to VivMech.
Drafts are restored for seven days after the last saved edit. Older drafts are removed when you next open the corresponding form; browser storage does not automatically erase itself after seven days. A successful submission clears that form’s draft. You can remove drafts sooner by clearing this website’s saved data in your browser. Avoid entering information on a shared device if you do not want others using that device to see your draft.
We have not added advertising trackers or an analytics tracking service to this website. Hosting and form providers may use their own technical or security mechanisms, as described in their policies.
How long we retain information
We retain inquiry information and email correspondence for as long as reasonably needed to respond to requests, discuss or carry out projects, maintain relevant business records, resolve disputes, and meet legal obligations. The availability of submissions in Formspree’s dashboard depends on its service and plan; notification emails and correspondence may remain longer. The seven-day browser-draft period is not a deletion deadline for submitted information.
You can ask us to delete information you provided. We will consider your request and explain any information we need to retain for a legitimate business or legal reason.
Your questions and requests
Use our privacy-request form to ask about your information or request access, correction, or deletion. We may need to confirm your identity before acting on a request. Additional rights may apply depending on your location and applicable law.
Information to leave out
This website is intended for professional inquiries, not student or patient records. Please do not submit identifiable student records, patient information, passwords, financial account details, or other sensitive personal information. Describe educational audiences and scientific topics in general terms.
The website is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has submitted information, please contact us through the privacy-request form.
Security and policy changes
We use HTTPS and service providers with security measures to help protect information. No transmission or storage method is completely secure. This policy applies to the VivMech website; linked websites have their own policies. If our practices change, we will update this page and its effective date and provide any additional notice required by applicable law.
